How to find the right essence water for brands: factory inspection, cooperation conditions and process disassembly

  • Choosing a essence water is essentially a whole chain guarantee from research and development to filling. For brand owners, finding a suitable factory requires shifting the focus from "what the other party says they can do" to "what the other party can actually deliver stably".

1、 Three landing dimensions for assessing factory capabilities

On site factory inspection is the first hurdle. It is recommended that the brand bring their product manager and quality control personnel to visit, with a focus on three aspects:

One is to examine the contact surface between water quality and the material. The base of essence water is water. How to maintain the purified water system of the factory, whether the pipeline material is 316L stainless steel, and how long the tank cleaning verification cycle are? These details are more illustrative than looking at several certificates. On site requests can be made to retrieve the microbiological and conductivity testing records of purified water from the past three months. The smaller the fluctuation amplitude of the data, the more stable the system.

The second is to examine the error prevention mechanism in the weighing and feeding process. The content range of active ingredients in essence water is narrow, and the weighing deviation will directly affect the product properties. Check whether the factory adopts an electronic scanning code verification weighing system, which means that each raw material needs to be scanned with a barcode before being weighed, and the system automatically compares the formula standards. If it exceeds the standard, an alarm will be triggered to stop the production line. The existence of this process is more convincing than verbally promising 'we are serious'.

The third is to observe the cleaning and conversion process of the filling line. Request the factory to provide a cleaning validation report between the previous batch and the next batch, especially the residue detection limit. If the factory can clearly state the cleaning time, water temperature, flow rate, and sampling point location, it indicates that its production management is in an orderly state.

2、 Key terms for setting cooperation conditions

The cooperation conditions are not only about price and minimum order quantity. It is recommended that the brand clarify three things during the negotiation phase:

R&D cooperation degree. Do you support sample imitation or independent formula adjustment? How much is the fee for each sample? How to ensure the consistency between the bulk formula and the sampling formula? It is a common industry practice to agree on free sampling within three times and charging based on cost after exceeding it.

Inspection and release standards. Clearly define the physical and chemical indicators, microbiological indicators, and sensory indicators (color, odor, skin texture) that both parties have jointly confirmed. The factory is required to provide a complete batch inspection report before leaving the factory, and the brand can entrust a third-party to conduct on-site inspections. The factory is responsible for reworking or replenishing materials for batches that fail the inspection.

Confidentiality and exclusivity. Essence water formula is a core asset, and a confidentiality agreement should be signed to agree that the factory should not use the formula for other brand customers. If exclusive production is required, corresponding cost adjustments must be reflected in the price terms.

3、 Standardization promotion of cooperation process

From initial exposure to mass production and market launch, it is recommended to follow the following five steps:

The first step is mutual qualification review. Exchange business license, production license, special cosmetics registration certificate (if applicable), ISO and other system certificates, and confirm that the factory's business scope includes the "toner" unit.

The second step is to interface the formula with the packaging materials. Send essence water target samples and packaging materials samples to the factory at the same time, and the factory will evaluate the compatibility between the materials and packaging materials (such as whether the bottle body is separated out and whether the pump head is stuck).

The third step is sampling and internal evaluation. The factory provides 3-5 samples, and the brand organizes an internal trial evaluation with no less than 20 people to fill out questionnaires on skin sensation, absorption, moisturizing time, and other dimensions. 1-2 samples are selected for stability testing (heat resistance, cold resistance, centrifugation test).

The fourth step is trial production and sample sealing. Arrange a small-scale trial production and keep track of the entire process. After confirmation by both parties, the trial production products will be sealed as standard samples and used as the basis for subsequent bulk acceptance.

The fifth step is to sign an annual contract and place an order. The contract is accompanied by technical specifications, acceptance criteria, confidentiality clauses, and delivery period. It is recommended to limit the first order to 80% of the factory's minimum order quantity, leaving room for market testing to avoid inventory backlog.

To find a suitable essence water factory is not to compare who has a loud voice and new equipment, but to compare who can stand scrutiny in details. Brand owners need to maintain clear standards and processes in order to achieve long-term and stable cooperation.
