How to choose a suitable processing factory for children's moisturizers: key points for investigation and cooperation guidelines

  • Finding OEM partners for children's skincare products has substantial differences in selection criteria compared to adult products. The barrier function of children's skin has not fully developed, and higher requirements are placed on the purity of raw materials, formula safety, and production environment. The following will be conducted from three dimensions: factory capability assessment, cooperation condition evaluation, and cooperation process, for brand reference.

1、 On site inspection: Judging the true level of the factory from details

    Production qualifications and hardware configuration

Request the factory to provide a cosmetics production license and verify if the license scope includes the category of "children's skincare products". Pay attention to the cleanliness of the workshop on site - the children's moisturizer filling area usually needs to meet a purification standard of 100000 levels. You can check the data from the pressure differential gauge and temperature and humidity recorder in the factory area. At the same time, observe whether key equipment such as weighing, emulsification, and filling are equipped with automatic cleaning systems (CIP), and whether there are any residual material traces on the surface of the equipment, which can reflect the daily maintenance habits of the factory.

Quality System and Quality Control Records

Review the product inspection reports and internal sampling records of the factory in the past two years, and pay attention to the detection frequency of microbial indicators (total bacterial count, heat-resistant coliform bacteria, etc.) and heavy metal limits. Inquire whether the factory has established a raw material traceability system and whether each batch of raw materials retains the purity analysis report (COA) provided by the supplier. For children's products, there should be special control documents for the added types and dosage of essence, preservatives and other raw materials.

    R&D cooperation capability

Understand whether the factory has dedicated formula development personnel and whether it has supporting equipment for skin sensation testing and stability observation. You can request to review past cases of children's moisturizers developed for other brands to understand the formula adjustment cycle and sample success rate, in order to determine their compatibility efficiency.

2、 Cooperation conditions: Clear agreement on the rights and responsibilities of both parties

Minimum order quantity and price structure

Factories usually set a minimum order quantity for children's products, but due to the increase in dedicated production lines and testing items, the unit cost is higher than that of ordinary skincare products. Brand owners need to negotiate a phased procurement plan with factories based on their own sales forecasts to avoid excessive pressure on initial stocking. The price composition should be listed item by item: raw material cost, emulsification processing fee, filling and packaging fee, testing fee, warehousing and logistics fee, etc., to prevent disputes in the future.

    Payment terms and payment methods

The industry practice is to prepay 30% -50% of the deposit and settle the balance before shipment. New cooperative brands can try to negotiate payment terms after passing the acceptance inspection, or agree on a certain percentage of warranty deposit to be used to deal with possible non-conforming batches.

    Confidentiality and exclusivity clauses

Formulas are the core assets of a brand. Before cooperation, a confidentiality agreement (NDA) must be signed, which specifies that the factory shall not use the formula, raw material ratio, and other information provided by the brand for other customers. If the brand has a need for market area protection, exclusive production terms can be negotiated.

3、 Collaboration Process: Standard Steps from Contact to Mass Production

Step 1: Preliminary screening and information collection

Obtain a list of factories through industry exhibitions, B2B platforms, or peer recommendations, verify their business information, litigation records, and administrative penalties, and exclude factories with records of safety production violations or false advertising penalties.

Step 2: Factory audit and sample testing

Conduct on-site inspections of 2-3 factories that have passed the initial screening, and arrange sampling for each factory. Send the samples to a third-party organization for testing, and organize a consumer trial group to conduct skin and odor evaluations, and comprehensively screen 1-2 candidates.

Step 3: Contract Negotiation and Trial Production

Negotiate on core terms such as quality acceptance standards, delivery time, and breach of contract liability, and clarify the handling methods and compensation mechanisms for non-conforming batches. Arrange a small trial production (usually 5% -10% of regular orders) before formal mass production to verify the actual production stability and quality control execution of the factory.

Step 4: Mass production and continuous supervision

During the mass production process, the brand can dispatch follow-up personnel or request the factory to provide key process parameter records for each batch. After the first batch of products are shipped, samples will be retained for later quality traceability.
