How to find a suitable essence lotion processing plant for the brand: inspection dimensions, cooperation conditions and processes

  • For brands, choosing the right processing plant is half the battle for success in a project. The formula of essence lotion is complex and the material state is sensitive. The selection of factory is directly related to product stability and delivery consistency. The following will be discussed from three aspects: investigation dimensions, cooperation conditions, and cooperation process.


    1、 Assessing the factory's capability: three on-site locations and one set of documents

    Observe the production site. Arrange a factory site visit without prior notice of the specific time. Key focus: whether the personnel and logistics in the workshop are separated, and whether the air cleanliness in the filling room meets the requirements of the cosmetics production license regulations; Whether the pipeline interfaces of the emulsification pot and storage tank are clean and free of foreign matter residue; Is the drainage ditch dry and free from any odor. These details can better reflect daily management level than certificates.


    Observe the quality inspection site. Request the factory to open a quality inspection room to check whether conventional testing equipment such as pH meters, viscosity meters, centrifuges, etc. are within their calibration validity period. Ask: whether each batch of lotion material keeps samples, and how long is the observation period of samples. If the other party can provide sample observation records from the past six months, it indicates that the process control is supported by a system.


    Look at the storage site. Is the raw material warehouse managed by zoning, and are hazardous materials isolated separately; Is there any monitoring record of temperature and humidity in the finished product warehouse; Are paper boxes and glass bottles stored away from walls and floors in the packaging warehouse. A factory with chaotic storage makes it difficult to ensure consistency between batches.


    Document review. Request to provide a cosmetics production license, ISO 22716 (Good Manufacturing Practice for Cosmetics) certification, and a third-party testing report on the purified water system within the past year. At the same time, ask for a list of main production equipment. Pay attention to the brand and model of the emulsification homogenizer. The equipment performance determines the uniformity of lotion particle size distribution.


    2、 Cooperation conditions: minimum order quantity, payment term, sampling fee, scheduling

    The minimum order quantity is the first screening threshold. Due to the high formulation cost of essence lotion, the factory usually sets a minimum order quantity of 500 kg or 1000 kg for each model for the first time, depending on the bottle specification. Brands should evaluate their initial stocking and sales forecasts to avoid inventory pressure caused by excessive minimum order quantities.


    In terms of payment terms, it is common in the industry to "prepay 30%+pay 70% before shipment" or "prepay 50%+pay 50% upon receipt of a copy of the bill of lading". The negotiation space for payment terms depends on the brand's past cooperation records and order size, and monthly payment terms are generally not given for first-time cooperation.


    Sampling fee and timeliness. The factory charges a sampling fee (usually 500-2000 yuan/item), which will be refunded or deducted for subsequent bulk orders. Confirm whether the sampling cycle (usually 7-15 working days) and the number of modifications are included. Keep the formula number and skin sensation evaluation record of each sample for easy traceability in the future.


    Production scheduling. Please clarify the current order saturation and whether it is necessary to prepare the material plan 2-3 months in advance during peak season. Factories with tight schedules, even if all conditions meet the standards, may still affect the pace of new product launches.


    3、 Collaboration process: Five steps, leave room in the contract

    Step 1: Transfer the requirements document. Provide a complete product requirement document, including dosage form, skin texture direction, registered ingredient list, fragrance preference, and packaging material specifications. The more detailed the factory evaluation, the more accurate the feasibility.


    Step 2: Formula sampling and blind testing. After receiving 2-3 rounds of sampling, organize an internal evaluation team to score dimensions such as skin feel, absorption speed, and smoothness of application, without informing the source of the samples, in order to reduce subjective preferences.


    Step 3: Trial production. Arrange a trial production of 50-100 kilograms before the bulk shipment, fill it with actual packaging materials, and conduct a 48 hour high and low temperature cycle inspection to confirm the stability of the material and the compatibility of the packaging materials.


    Step 4: Contract review. Clear quality standards shall be based on the sealed samples confirmed by both parties; Specify the proportion of liquidated damages for delayed delivery; The responsibility allocation and compensation mechanism for quality problems such as excessive microorganisms caused by the production process of the agreed product.


    Step 5: Follow up with the first batch of bulk goods. During the first batch of production, the brand sends personnel to the factory to follow the production line, recording the entire process from feeding, homogenization, filling to packaging, and promptly detecting any abnormalities. After the first order is completed, compile a factory cooperation evaluation form as a basis for future long-term cooperation.
