  • Choosing a suitable OEM factory is a crucial step in the implementation of brand products. The factory's capabilities directly determine product quality, delivery stability, and smooth subsequent cooperation. The following will be conducted from three dimensions: factory capability assessment, cooperation condition evaluation, and cooperation process, for brand reference.

1、 Four core dimensions for assessing factory capabilities

    1. Qualifications and hardware facilities

First, verify whether the factory holds a cosmetics production license, and whether the license covers "general liquid units (skincare water)". Also, pay attention to whether the validity period of the license covers the planned production cycle. In terms of hardware, attention can be paid to whether the cleanliness of the workshop meets the corresponding level required for cosmetics production, and whether the water treatment system and emulsion filling equipment meet the requirements of mass production. It is recommended to conduct on-site visits to observe the operation status of the production line and the storage environment - whether the raw material warehouse is clearly divided and whether the packaging warehouse has dust and moisture prevention measures. These details reflect the daily management level of the factory.

    2. R&D and formulation capabilities

Request the factory to provide past cases of developed soothing or whitening water-based products to understand whether they have the ability to independently develop formulations. You can inquire about the size and years of experience of the engineering team to confirm whether the factory can debug and sample according to the reference formula or efficacy requirements provided by the brand. For soothing and whitening essence water, we can learn about the factory's experience in plant extract compounding, anti-corrosion system selection, color stability control, etc. Suggest arranging a formal sample to assess the factory's ability to implement the formula using actual samples.

    3. Quality control system and testing capability

Check if the factory has established a full process quality control node for raw material incoming inspection, process inspection, and finished product factory inspection. Inquire about the testing items that the factory's own laboratory can carry out, which should at least have the ability to test basic indicators such as pH value, viscosity, and microorganisms (total bacterial count, mold and yeast). At the same time, confirm whether the factory regularly sends products to third-party institutions for type testing, and whether there is a testing process for safety indicators such as heavy metals and hazardous substances.

    4. Production cycle and flexible supply

Understand the standard delivery cycle of the factory (from order to shipment) and the minimum order quantity. For brand owners, it is important to ensure that the minimum order quantity matches their sales expectations. At the same time, inquire whether the factory can adjust the production schedule when the order volume fluctuates, and how efficient the line cleaning and variety switching are, which will affect the flexibility of subsequent replenishment.

2、 Cooperation conditions and key points of preliminary communication

The cooperation conditions usually include the following: minimum order quantity requirements, sampling fees and return policies (whether to deduct after the order is reached), division of procurement responsibilities for packaging materials and raw materials, settlement methods for processing fees (prepayment+final payment ratio), quality responsibility agreements, and objection handling procedures.

During the communication phase, the brand should proactively provide basic information such as product positioning, target audience, usage scenarios, packaging forms, etc. Simultaneously present the brand owner's business license, trademark registration certificate, or acceptance notice to the factory for the purpose of facilitating the cooperation qualification review. Both parties also need to sign a confidentiality agreement to protect commercial information such as formulas and design drafts.

    3、 Standard Cooperation Process

Stage 1: Requirement docking and sampling

The brand direction factory provides product concepts and reference samples (if any), conducts formula analysis and cost estimation, confirms cooperation intentions, and starts sampling. Generally, 2-4 rounds of adjustments are made until the brand confirms.

Stage 2: Sample Confirmation and Testing

After the brand confirms the final sample, the factory arranges to retain the sample and send it for third-party testing (for safety items such as microorganisms and heavy metals). Only after issuing a qualified report can it enter mass production preparation.

Stage 3: Packaging material stocking and production scheduling

The brand shall deliver the packaging materials according to the agreed time, and the factory shall arrange the production schedule after the packaging materials are inspected and qualified. At this stage, it is necessary to clarify the packaging material loss rate and responsibility for excessive damage.

Stage 4: Mass production and shipment

The factory completes the filling, packaging, coding and other processes as planned, conducts internal inspections before leaving the factory, and provides factory inspection reports along with the goods. The brand may arrange on-site follow-up or spot checks upon arrival based on the situation.

Stage 5: Settlement and Follow up Services

After the product is delivered, the final payment settlement shall be completed according to the contract agreement. The factory should retain samples from each batch for traceability, and cooperate with the brand to handle market feedback and quality inquiries during the product shelf life.

Choosing a suitable factory, it is recommended that the brand compare at least three candidate factories and make a decision after comprehensive evaluation. In the early stage of cooperation, starting from small batch orders, we gradually establish a stable supply relationship, which is more secure for both parties.
